About This Role

As the first point of contact for prospective clients, the Client Intake Coordinator plays a vital role in our firm's mission to help injured Californians. You will conduct initial case screenings, gather critical information, and ensure every potential client feels heard and supported from their very first interaction with Hillguard. This role combines empathy with efficiency in a fast-paced legal environment.

Responsibilities

  • Answer incoming calls, web inquiries, and chat messages from prospective clients
  • Conduct thorough initial case screenings using established criteria and intake protocols
  • Gather detailed information about accidents, injuries, and potential liability
  • Enter all prospect data accurately into the case management system
  • Schedule consultations with attorneys and manage the intake calendar
  • Follow up with leads who have not yet retained the firm
  • Track intake metrics and report on lead sources and conversion rates
  • Maintain confidentiality and handle sensitive information with discretion

Requirements

  • 1+ years of experience in legal intake, customer service, or a similar client-facing role
  • Excellent phone manner with a warm, professional, and empathetic approach
  • Strong active listening skills and ability to ask effective follow-up questions
  • Comfortable working in a fast-paced environment with high call volume
  • Basic understanding of personal injury law concepts (training provided)
  • Proficiency with CRM or case management systems
  • Reliable, punctual, and able to work a consistent schedule

Preferred Qualifications

  • Previous experience in a personal injury law firm
  • Bilingual English/Spanish highly valued
  • Experience with lead tracking and CRM reporting
  • Knowledge of common personal injury case types (auto accidents, slip-and-fall, etc.)
